TERMS & CONDITION (T&C)
‘Hope-o-Ween: Run for Childhood Cancer’ is organised by Omega Leo Club of UCSI University (hereinafter referred to as “Event Organiser”) and all runners shall be bound by the following rules & regulations.
1. General
1.1 All participants must provide accurate personal information during registration.
1.2 Participants are required to pay the specified registration fee to enter the event.
1.3 Participants are not permitted to transfer their entry to another party. Only registered participants may take part in the race. Unregistered participants are NOT allowed to accompany runners on the route.
1.4 Participants below the age of 18 required written parental/guardian consent, failing which the Event Organiser reserved the right to refuse registration of said Participants.
1.5 By entering the run, participants grant the Event Organiser permission to collect and use their information for event-related purposes only, ensuring no commercial use.
1.6 The Event Organiser reserves the right to use any photograph (including those of the participants), motion pictures, recordings or any other media records for legitimate purposes.
1.7 Event entitlements may vary and are subject to modification by the Event Organiser.

2. Refund Policy & Cancellation
2.1 Registration fees are NON-REFUNDABLE once payment is made. No refunds will be issued due to unforeseen circumstances and event cancellation.
2.2 The event will proceed regardless of weather conditions unless mandated cancellation by state and local park authorities.
2.3 No refunds will be provided for runners who do not participate in the run for any reason.
2.4 The Event Organiser reserves the right to postpone, cancel, interrupt, or stop the event due to adverse weather, dangerous situations, or any other causes beyond its control without prior notice or liability on its part.


3. Safety & Liability
3.1 Participants are responsible for their own safety & personal belongings and maintain public amenity conditions around the race route.
3.2 Participants should be in good health and consult a medical professional regarding any underlying medical conditions.
3.3 Compliance with designated run routes and safety instructions is mandatory.
3.4 Participants must refrain from bringing sharp and dangerous objects, fireworks, or any props or costumes that could cause harm to themselves or others.
3.5 Masks, Halloween props, or costumes worn must not obstruct breathing, vision, or mobility, and should be safe for a running environment.
3.6 Misuse of any dangerous props or costume resulting in potential harm or discomfort to others is strictly prohibited and may lead to immediate disqualification from the event.
3.7 Participants acknowledge personal risk during the run. Event Organiser is not liable for the security and any loss or damage of any personal items or in using any public amenities provided by the Event Organiser or otherwise arising from the run.


4. Health / Fitness
4.1 While the Event Organiser takes reasonable precautions for safety, participants acknowledge running at their own risk. The Event Organiser is not liable for any injury or death occurring before, during, or after the run.
4.2 The Event Organiser reserves the right, at their absolute discretion, to stop any participants from participating or continuing their participation in the run without assigning any reason.


5. Medical Aid
5.1 An ambulance with medical personnel will be stationed along the route.
5.2 Injured participants will be brought to the sick bay at the venue where the first aiders will diagnose the severity of the injury. Rubdowns and unknotting of cramps will be made available by the medical team on duty throughout the event.
5.3 Any participants with health conditions are required to inform the first aider in-charge at the sick bay of the venue or any of the first-aid team members along the route.


6. Attire
6.1 Participants are required to wear either the provided event T-shirt or a Halloween-themed costume or attire. For identification purposes, all participants must display the official event
sticker or number bib provided by the Event Organiser throughout the run. Failure to do so may result in disqualification.
6.2 Halloween costumes, masks, or props are encouraged to add festive spirit, provided they are safe for running (non-obstructive, non-hazardous, and comfortable). Participants should ensure costumes do not restrict breathing, vision, or mobility.
6.3 Sandals, slippers, or open-toed footwear are strictly prohibited for safety reasons.
6.4 It is advisable to avoid wearing valuable or delicate clothing or accessories during the run, as the event involves active movement and outdoor conditions, which may adhere to clothing and accessories.


7. Environmental Responsibility
7.1 Participants are expected to dispose of any trash or waste responsibly by using designated bins along the route or at provided stations. Littering during the run is strictly prohibited.
7.2 Any intentional or negligent damage caused to the event premises or surrounding areas by participants will result in immediate disqualification and potential legal action for restitution.


8. Rules and Disqualification
8.1 All participants are urged to complete the run for event objectives. Finisher medals will be awarded solely to participants who successfully complete the designated run route within the stipulated time frame.
8.2 Participants must follow all rules and regulations of the event, including starting times and course routes. Latecomers may not be permitted to join the event after the designated start time to ensure the safety and seamless execution of the run.
8.3 Any obstruction or interpersonal act of annoyance and aggression against other participants is strictly prohibited throughout the run.
8.4 Participants are strongly advised to arrive well in advance of the event start time to complete any necessary registration procedures, receive event materials, and participate in the pre-event briefings.
8.5 Disqualification may occur for non-compliance with terms and conditions.


9. Dispute & Indemnity
9.1 The Event Organisers shall have absolute discretion to amend, delete or substitute any or all the above rules and regulations including insertion of new rules and regulations as it deems fit, without prior notice.
9.2 Participants agree to indemnify and hold harmless the Event Organiser, its affiliates, sponsors, and volunteers from any claims, damages, demands, lawsuits, liabilities, or expenses (including attorneys' fees) arising from their participation in the event, including personal injury, death, loss, or damage to personal property.


10. Force Majeure
10.1 The Event Organiser shall not be liable or responsible for failure to perform any obligation due to causes beyond its control, including but not limited to acts of God, natural disasters, governmental actions, or other unforeseeable circumstances.
