ASHRAE RUN 2026 – OFFICIAL TERMS & CONDITIONS
1. GENERAL EVENT INFORMATION
1.1 Event Details
ASHRAE Run 2026 will take place on 1 November 2026 at 5:30 AM, located at Universiti Malaya, Kuala Lumpur.
1.2 Fees and Surcharges
All published ticket prices across all tiers (Super Early Bird, Early Bird, and Normal) exclude online processing fees and platform surcharges. These will be calculated and appended at checkout. We will not consider any additional interest or fees charged by the participant’s bank or credit card during the purchase of registration.
1.3 Charity Contribution
By participating, you acknowledge and agree that 40% of the event’s net profits will be directed to designated charitable bodies.
1.4 Participant Eligibility
The Event is eligible for all Malaysians and foreigners who are recently staying in Malaysia.
2. PARTICIPANT DATA & MANDATORY INSURANCE
2.1 Accuracy of Information
Registration data is directly linked to the underwriting of personal event insurance. Participants must ensure their Full Name (exactly as per IC/Passport) and IC/Passport Number are keyed in with absolute accuracy.
2.2 Organizer Liability
The organizer holds no liability or responsibility for any denied insurance claims resulting from typographical errors, false details, or inaccurate personal information provided during registration.
2.3 Personal Data Consent
The participants have to agree to all the T&C proposed by the organiser as shown below during registration:
Data Processing Authorization: Authorization to the Organiser to collect, process, organise and retain personal data relating to the Participant.
Consent Withdrawal: The Participant shall be deemed to have withdrawn from the Event if he/ she withdraws his/ her consent or authorization given at any time before the Event starts.
3. STUDENT TICKET ELIGIBILITY & VERIFICATION
3.1 Institutional Restrictions
Student-priced tickets (applicable to both Individual and Group categories) are available to active students of all University and Secondary schools. Alumni do not qualify for this rate.
3.2 Mandatory Verification at REPC
Participants purchasing under any Student Tiers must present their physical or official digital Student ID Card / Matric Card during the Race Entry Pack Collection (REPC) days.
3.3 Non-Compliance Penalties
Participants who fail to produce valid proof of eligibility during REPC may be required to pay the difference between the Student and Public ticket price before the race kit is released. The Organizer reserves the right to refuse participation if eligibility cannot be verified.
3.4 REPC Announcements
Full details regarding the dates, times, and venue for the Race Entry Pack Collection (REPC) will be announced exclusively via our official Instagram account: @ashraerun and our official WhatsApp group. Participants are responsible for monitoring these channels for official updates.
4. GROUP PACKAGES & REGISTRATION REQUIREMENTS
4.1 Pre-Payment Requirements
When purchasing a group package, the main buyer must prepare and accurately fill out the following details for all individual runners before being permitted to proceed to the payment gateway:

T-shirt Size
4.2 T-Shirt Sizing Accuracy
Before completing your purchase in the buying tab, participants are strictly required to refer to the official T-shirt size chart located under the "Details" tab. The organizer will not entertain any size exchange requests during or after REPC.
4.3 Group Mixing Restrictions
Group packages are strictly categorized as either "Public" or "Student."
Cross-mixing between public individuals and students within a single group package is strictly prohibited. Any group found violating this rule will have their entire registration voided.
4.4 Child Inclusion (Buy 4, Free 1 Concept)
For the 5km Group package, a maximum of one (1) child (12 years or below) may be registered as one of the five members.
4.5 Group Registration Conditions
Group packages are valid only when all five (5) participants are registered in a single transaction. The “Buy 4, Free 1” promotion cannot be combined across separate purchases or applied retrospectively.
5. AGE RESTRICTIONS & COMPLIMENTARY CHILD ENTRY
5.1 General Age Limits & 10km Competitive Run
Participants must be aged 16 years or older on the day of the event to join the 10km Competitive Run. For all categories, the participant must be aged 5 and above by or on the event date.
5.2 5km Fun Run Child Entry
Children aged 12 years and below may participate for free (subject to age limits in Clause 5.1).
5.3 Free Child Entitlement Clause
Free child entry does not include the Premium Entitlement Kit (official event shirt, medal, or merchandise).
5.4 Mandatory Child Registration & Parental Consent
For safety, tracking, and insurance purposes, parents or guardians must register the child’s basic information via Ticket2U. Furthermore, participants 12 years old and below are required to fill in and submit the Parental/Legal Guardian Consent Form during the registration.
6. REFUND AND TRANSFER POLICY
6.1 Strict No-Refund Policy
All ticket sales are final. Once payment is successful, tickets are strictly non-refundable under any circumstances. If the participant is unable to participate in the event on the date, the entry fee and additional orders that have been paid will not be refunded. This applies to personal scheduling conflicts, medical reasons, or event cancellation due to force majeure.
6.2 Ticket Transfers
Ticket transfers to a replacement runner are permitted strictly up to 14 days before the event (Cut-off date: 18 October 2026). To initiate a transfer, the original ticket holder must contact the organizers directly. Late transfer requests will not be processed.
6.3 Event Changes
The Organizer reserves the right to postpone, reschedule, modify the event route, race categories, race format, or venue due to circumstances beyond its reasonable control, including but not limited to adverse weather conditions, government directives, public health concerns, or force majeure. No refunds will be issued under such circumstances.
6.4 Organizer’s Right to Refuse Entry
The Organizer reserves the right to refuse participation or remove any participant whose conduct is deemed unsafe, disruptive, or in breach of these Terms & Conditions, without any refund or compensation.
6.5 Media Consent
By participating in ASHRAE Run 2026, participants consent to being photographed, filmed, or recorded during the event. The Organizer reserves the right to use such photographs, videos, and recordings for promotional, marketing, publicity, and archival purposes without further notice or compensation.
6.6 Acceptance of Risk
Participants acknowledge that participation in a running event involves inherent risks of injury, illness, or property loss. By registering, participants voluntarily assume all such risks and release the Organizer, co-organizers, sponsors, volunteers, and partners from any liability arising from participation, except where prohibited by law.
7. HEALTH, SAFETY, AND BUBBLE EXPERIENCE INDEMNITY
7.1 Medical Fitness
Participants must be medically fit and physically capable of completing their chosen route (5km or 10km). By entering the event, you acknowledge that you do so entirely at your own risk.
7.2 Bubble Experience Guidelines
ASHRAE Run 2026 features an interactive bubble experience using safe, non-toxic, water-based foam solutions. However, participants with sensitive skin, respiratory histories, or chemical allergies are advised to take necessary precautions. The Organizers accept no liability for personal skin irritations, stained clothing, or accidental slips within the bubble zones.
7.3 Liability Disclaimer
The organizers, technical partners (University/Secondary school student branches and MASHRAE), and sponsors will not be held liable for any injuries, loss of personal property, damages, or casualties incurred before, during, or after the event.
