- Registration
All participants must complete the official registration process and provide accurate, current, and complete information. The Organising Committee reserves the right to reject, cancel, or suspend any registration if the information provided is incomplete, inaccurate, misleading, or in breach of these Terms and Conditions.
Registration is confirmed only upon receipt of full payment, where applicable, and issuance of an official confirmation by the Event Secretariat.
- Registration Fees and Payment
All fees are payable in accordance with the rates, deadlines, and payment methods stated on the official Event registration platform or invoice. Early bird, member, student, group, or other discounted rates are subject to eligibility verification.
The Organising Committee reserves the right to amend registration fees, payment terms, and deadlines where necessary. Any bank charges, currency conversion fees, or transaction costs shall be borne by the participant.
- Cancellation, Refunds, and No-Shows
Cancellation requests must be submitted in writing to the Event Secretariat.
Unless otherwise stated by the Organising Committee, the following refund policy shall apply:
Cancellations received on or before [insert date]: [insert refund percentage] refund, less any administrative or transaction fees.
Cancellations received after [insert date]: No refund will be provided.
No-shows will not be eligible for a refund.
Refunds, where approved, will be processed after the Event or within a reasonable administrative period. The Organising Committee is not responsible for delays caused by banks, payment providers, or third parties.
- Substitution of Participants
Participant substitutions may be allowed at the discretion of the Organising Committee, provided that a written request is submitted before [insert date]. The substitute participant must meet any applicable eligibility requirements for the registration category.
- Event Programme and Changes
The Organising Committee will make reasonable efforts to deliver the Event programme as published. However, the programme, speakers, topics, venues, schedule, format, and other arrangements may be changed, postponed, or cancelled due to operational requirements, speaker availability, safety considerations, force majeure events, or circumstances beyond the Organising Committee’s control.
The Organising Committee shall not be liable for any loss, cost, or inconvenience arising from such changes.
- Admission and Identification
Participants may be required to present a valid confirmation email, registration badge, official identification, or other proof of registration upon entry. Event badges are non-transferable and must be worn visibly during the Event.
The Organising Committee reserves the right to refuse admission or remove any participant who fails to comply with registration requirements, security procedures, venue rules, or these Terms and Conditions.
- Code of Conduct
All participants are expected to conduct themselves professionally, respectfully, and responsibly throughout the Event.
Harassment, discrimination, intimidation, disruptive behaviour, offensive language, unsafe conduct, unauthorised solicitation, or any behaviour that may affect the dignity, safety, or wellbeing of others will not be tolerated.
The Organising Committee reserves the right to remove any participant from the Event without refund if their conduct is deemed inappropriate or unsafe.
- Health, Safety, and Security
Participants must comply with all applicable health, safety, security, and emergency procedures issued by the Organising Committee, venue operator, local authorities, or relevant agencies.
Participants are responsible for assessing their own health and fitness to attend the Event. The Organising Committee reserves the right to impose reasonable safety measures where necessary.
- Photography, Video, and Media Consent
Photography, video recording, audio recording, and livestreaming may take place during the Event. By attending the Event, participants consent to being photographed, filmed, or recorded for documentation, publicity, educational, promotional, reporting, and archival purposes.
Participants who do not wish to appear in official Event photographs or recordings should notify the Event Secretariat in writing before the Event. The Organising Committee will make reasonable efforts to accommodate such requests but cannot guarantee exclusion from all incidental recordings in public Event areas.
Unauthorised commercial recording, livestreaming, or distribution of Event content is prohibited without prior written approval.
- Intellectual Property
All Event materials, presentations, slides, recordings, logos, trademarks, and other content remain the property of their respective owners. Participants may not reproduce, distribute, publish, sell, modify, or use Event materials for commercial purposes without prior written permission.
Participants may use Event materials for personal learning and professional reference, subject to any restrictions imposed by the speaker, organiser, sponsor, or copyright owner.
- Personal Data and Privacy
By registering for the Event, participants consent to the collection, use, processing, and storage of their personal data for purposes related to Event administration, registration, communication, payment processing, security, attendance management, certification, post-Event reporting, and future updates related to APOSHO or associated occupational safety and health activities.
Personal data may be shared with authorised service providers, Event partners, venue operators, payment processors, and relevant authorities where necessary for the proper administration of the Event.
Participants may contact the Event Secretariat to request access to, correction of, or withdrawal of consent for the use of their personal data, subject to applicable legal and administrative requirements.
- Sponsors, Exhibitors, and Third Parties
The Event may include sponsors, exhibitors, partners, vendors, and third-party service providers. Any interaction, transaction, agreement, or arrangement between participants and such third parties is solely between the participant and the relevant third party.
The Organising Committee is not responsible for the acts, omissions, products, services, claims, or representations of third parties.
- Travel, Accommodation, and Visas
Participants are responsible for arranging their own travel, accommodation, insurance, visas, permits, and related requirements. The Organising Committee shall not be responsible for any costs, losses, or consequences arising from travel disruptions, visa refusal, immigration issues, accommodation changes, flight cancellations, or other personal arrangements.
Where invitation letters or supporting documents are provided, they are issued solely to support Event attendance and do not guarantee visa approval or entry into the host country.
- Insurance
Participants are encouraged to obtain appropriate travel, medical, personal accident, and event cancellation insurance. The Organising Committee shall not be liable for personal injury, illness, loss, theft, damage, travel disruption, or other costs incurred by participants, except where liability cannot be excluded by applicable law.
- Limitation of Liability
To the fullest extent permitted by law, the Organising Committee, APOSHO, Event Secretariat, venue operator, sponsors, partners, agents, contractors, and representatives shall not be liable for any indirect, incidental, consequential, special, or economic loss arising from participation in the Event.
The Organising Committee’s total liability, where legally established, shall be limited to the registration fee paid by the participant.
- Force Majeure
The Organising Committee shall not be liable for any delay, change, postponement, cancellation, or failure to deliver the Event due to circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, fire, flood, epidemic, pandemic, government restrictions, acts of terrorism, civil unrest, labour disputes, technical failures, venue unavailability, transport disruption, or other force majeure events.
In such circumstances, the Organising Committee may reschedule, modify, relocate, convert to a virtual or hybrid format, or cancel the Event at its discretion.
- Certificates of Attendance
Certificates of attendance, continuing professional development records, or similar documents may be issued subject to successful registration, attendance verification, and any applicable requirements set by the Organising Committee.
The Organising Committee reserves the right to withhold certificates where attendance cannot be verified or where a participant has breached these Terms and Conditions.
- Compliance with Laws and Venue Rules
Participants must comply with all applicable laws, regulations, venue rules, and instructions issued by the Organising Committee or authorised personnel. Any breach may result in removal from the Event without refund and, where necessary, referral to the relevant authorities.
- Amendments to These Terms
The Organising Committee reserves the right to amend these Terms and Conditions at any time. The latest version will apply to all participants and may be published on the official Event website or registration platform.
- Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of Malaysia. Any dispute, claim, or matter arising from or in connection with the Event, registration, attendance, payment, cancellation, or these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Malaysia.
