TERMS & CONDITIONS
ORGANISER & ELIGIBILITY
1. This Event (“Event”) is organized by KELAB BELIA TAMAN SETIAWANGSA (“the Organizer”) and is open to all Malaysian residents, including Malaysians and non-Malaysians who are permitted and have valid residency in Malaysia, aged 7 years and above.
EVENT
2. This Event will be organized as follows:
2.1. Race Entry Pack Collection (REPC)
Venue: MSN Setiawangsa Sports Complex
Date: 10 Oct 2026 - 11 Oct 2026
Time: 11 am – 6 pm
2.2. Event Day
Venue: MSN Setiawangsa Sports Complex
Date: 17 October 2026 (Saturday)
Time: 7.00 AM – 12.00 PM
2.3. Distance: As officially announced by the Organizer.
3. The Organizer reserves the right to postpone or cancel the Event at any time.
4. All paid and registered participants are entitled to participate in the Lucky Draw, subject to the terms and conditions determined by the Organizer.
RACE ENTRY PACK COLLECTION (REPC)
5.1. All registered participants are required to collect their race kit, which includes the Bib, T-Shirt and other packs or entitlements as announced or officially stated in the registration portal.
5.2. Race kits will NOT be issued to participants after the designated collection period.
5.3. For collection, participants are required to bring along the Confirmation Slip or NRIC/Passport for verification purposes.
5.4. The Organizer reserves the right to refuse participants without the required documents from collecting their race kits.
5.5. If participants are unable to collect their Race Kit in person, they may authorize a representative to collect it on their behalf.
5.6. Important Notes
5.6.1. An appointed representative may collect up to a maximum of ten (10) race kits, including their own, should they also be a registered participant.
5.6.2. Strictly NO changes in T-Shirt sizes will be allowed.
5.6.3. NO late collection will be entertained.
5.6.4. Race Kits CANNOT be collected at the Event venue unless otherwise officially announced by the Organizer.
5.6.5. Race Kits that are not collected after the designated collection period will be deemed unwanted, and the Organizer may dispose of or redistribute them accordingly.
DESCRIPTION OF EVENT
6. This Event is open to participants aged 7 years and above.
7. By signing up for and providing any information, personal or otherwise, to gain access to the Event or any activity involving the Organizer and the Event sponsors, if any, the individual (“Participant”) shall be deemed to have agreed to the following:
7.1. The Personal Data of the Participant may be used by the Organizer for the purposes of sending communication materials to the Participant, including but not limited to direct mailers, emails, Short Messaging Service (SMS), and/or telephone calls.
7.2. The Organizer may engage the services of third parties to process the Participant’s Personal Data. All such third parties shall be contractually obliged not to use the Participant’s Personal Data for any purpose other than those specified herein.
7.3. The Participant has the right, at any time, to:
7.3.1. Request any correction or update of his/her Personal Data; and
7.3.2. Raise any general queries regarding the use of his/her Personal Data by contacting the Organizer.
LIABILITY & RESPONSIBILITY
8. The Organizer shall take all reasonable precautions to keep the Participant’s Personal Data secure and shall similarly require any third-party data processors to do the same.
9. The Organizer shall ensure that all Personal Data is destroyed or permanently deleted if it is no longer required for the purposes for which it was collected or processed.
10. The Organizer may release the Participant’s Personal Data if required to do so by applicable law, governmental regulation, or any competent body or authority.
11. The Organizer, by virtue of being the organizer of the Event, may engage the services of third parties at any point in time as deemed appropriate.
12. Participants must ensure that they are medically and physically fit to participate in the Event. The Organizer shall not be liable for any accident, injury or mishap arising as a result of the Participant’s failure to disclose any medical condition.
13. The Organizer reserves the right to modify, amend or substitute any of the rules and regulations of the Event from time to time as deemed appropriate. If there is any ambiguity in any provision, the Organizer shall have the authority to interpret the provision while taking into consideration the interests of all affected Participants.
14. Completion and submission of the online registration form confirms the Participant’s agreement to abide by the relevant rules and regulations established by the Organizer.
The Participant’s registration shall be confirmed via a Confirmation Slip, which will be sent to the email address registered with the Organizer.
The Participant shall inform the Organizer through its official communication channel if the Participant does not receive the Confirmation Slip or is unable to download the Confirmation Slip from the Event’s official registration platform.
If there is any discrepancy in the Confirmation Slip, the Participant shall report such discrepancy to the Organizer within five (5) working days.
15. The Confirmation Slip shall be considered valid proof of confirmed registration and shall be used for verification of the Participant’s Event entitlements.
16. The Participant agrees to provide true, accurate, current and complete information during registration.
The Organizer may contact the Participant from time to time by email, telephone or other communication channels provided during registration.
Any notice sent to the email address or contact information registered with the Organizer shall be deemed to have been received by the Participant.
If the Participant provides any information that is untrue, inaccurate, outdated or incomplete, or if the Organizer has reasonable grounds to suspect that such information is untrue, inaccurate, outdated or incomplete, the Organizer reserves the right to suspend or terminate the Participant’s registration and refuse any current or future participation in the Event.
17. Once the Participant’s registration has been duly processed and confirmed, there shall be NO REFUND of the registration fee should the Participant eventually decide not to participate in the Event for any reason whatsoever.
18. The Organizer will not entertain nor be responsible for any disputes arising from incomplete or inaccurate information provided in the registration form.
19. Participants are strictly prohibited from transferring their Event registration or entry to another party after registration has been confirmed unless otherwise approved in writing by the Organizer.
20. The Organizer reserves the right to change the Event date, time, venue or other Event details, or to cancel the Event at any time should circumstances require.
In such circumstances, the Organizer will make reasonable efforts to inform Participants of any changes.
Should the Event be cancelled, registration fees shall be dealt with in accordance with the Organizer’s applicable cancellation and refund policy.
Any updates relating to the Event, including amendments to these Terms & Conditions, will be announced through the Event’s official communication channels.
It is the responsibility of Participants to keep themselves updated with such announcements and changes.
The Organizer shall not be liable for any loss or inconvenience arising as a result of any changes to the Event.
21. There shall be no refund of registration fees if the Event is cancelled due to force majeure or circumstances beyond the reasonable control of the Organizer, including but not limited to haze, flood, pandemic, endemic, storm, heavy rain, inclement weather, strong winds, acts of God, terrorism, civil disturbance, governmental restrictions or any other conditions which, in the Organizer’s opinion, render it impossible or unsafe to conduct the Event.
22. The Organizer reserves the right to limit and/or refuse entry or participation without giving any reason or prior notice.
23. The Organizer reserves the right to cancel, amend and/or add any Event category without giving any reason, where deemed necessary.
24. The Organizer shall not be liable for any loss and/or inconvenience caused to Participants during their participation in the walk/run or other activities associated with the Event.
25. Whilst every reasonable precaution will be taken by the Organizer to ensure the safety of Participants, all Participants participate at their own risk.
The Organizer shall not be responsible or held liable for any injury, death, damage, loss of property or other loss, whether personal or otherwise, suffered or caused before, during or after participation in the Event.
Participants are strongly advised to undergo a medical examination and/or consult their medical practitioner before registering for and participating in the Event.
26. Participants are advised to monitor and maintain their personal health condition prior to Event Day.
27. The Organizer reserves the right to close registration before the stated deadline without prior notice if the Event quota has been reached or for any other reason deemed necessary by the Organizer.
28. The Organizer reserves the right to use photographs, videos, motion pictures, audio recordings and/or any other media records of the Event, including photographs or recordings containing Participants, for legitimate purposes including publicity, promotion, advertising, marketing, commercial purposes, social media, publications and distribution to Event sponsors and partners.
WAIVER OF LIABILITY
29. By electronically agreeing to the Disclaimer and Waiver during the registration process, the Participant acknowledges that he/she has read, understood and agreed to the information, rules, regulations, disclaimers and conditions presented as part of the Event registration process.
30. The Participant acknowledges and accepts that participation in the Event carries certain inherent dangers and risks which may or may not be readily foreseeable, including but not limited to personal injury, property damage, serious physical injury and death.
31. In consideration of being permitted to participate in or complete the Event and/or any activities associated with the Event, the Participant, for himself/herself and his/her personal representatives, heirs and assigns, agrees to the provisions contained herein.
32. The Participant agrees to release, to the extent permitted by Malaysian law, the Organizer, online registration provider, contractors, subcontractors, venue operators, municipal agencies whose property or personnel are used for the Event, sponsoring and co-sponsoring organizations, Event partners and their respective employees, representatives, agents, volunteers and affiliates from liability arising from participation in the Event.
This includes, where applicable, emergency or rescue operations conducted in connection with the Event.
33. The Participant acknowledges that participation in the Event is voluntary and agrees that any claim, demand, loss or damage arising from participation shall be subject to applicable Malaysian law and the terms of this Waiver.
34. The Participant warrants that he/she is in good physical condition, has made sufficient preparation and is capable of safely participating in the Event.
The Participant acknowledges and accepts the risks and hazards associated with participating in the Event, including the possibility of serious physical trauma, injury or death.
35. For Participants below the legal age of 18 years old, approval from a parent or legal guardian is required.
The parent or legal guardian shall be responsible for providing the necessary consent and supervision during the Event.
36. The Participant grants permission to the Organizer to use the Participant’s name, image, photographs, videos and/or recordings captured in connection with the Event in broadcasts, newspapers, magazines, brochures, websites, social media platforms and other media without compensation or prior notice, subject to applicable law.
37. The Participant agrees that he/she may receive promotional materials, information and/or items from the Organizer, Event partners and sponsors in connection with the Event.
38. The Participant acknowledges that the Event entry fee and transaction costs, if any, are non-refundable, non-transferable and non-deferrable, except where otherwise expressly determined by the Organizer.
39. The Participant acknowledges that the Organizer has the right to alter, amend, change, cancel and/or postpone the Event due to circumstances which directly affect or impact the Event and which are beyond the reasonable control of the Organizer.
